Use Spaces Sheets, Calendar, and Whiteboards
Practical how-to for Space sheets (including AI columns), calendar events, whiteboards, and the shared chat feed.
Once a Space has a clear outline, the next tools are the ones that hold structured work over time: sheets for tables and tracking, calendar for dated plans, whiteboards for visual thinking, and Space chat plus Shared chats for the conversation around that work.
This guide is a practical tour of those surfaces. It skips Space Designs, which is still beta-gated. If you still need members, roles, or invites, use Collaborate in Shared Spaces first.
Start from an open Space
Open the Space
Go to /spaces and open the project where you want the sheet, event, whiteboard, or chat to live.
Use the Space create menu
From the Space sidebar or header create menu, choose Create Sheet, Create Event, or Create Whiteboard. Open Chat or conversations when you want the shared discussion thread.
Keep ownership clear
Editors and above can create and edit content. Viewers and commenters can follow along; owners and admins still manage membership.
Sheets and whiteboards need Pro (or higher) on the workspace plan. Calendar events are available on Free with a light allowance; Plus adds more room for dated work.
Build a Space sheet
Use sheets when the work needs rows, columns, formulas, or a shared tracker that should stay next to the Space notes and tasks.
Create a sheet, name it, then open the workbook editor. Add headers in the first row, type values into cells, and use formulas where a calculated field helps.
Create the sheet
Choose Create Sheet, give it a clear name (for example Launch checklist or Budget tracker), and open it from the Space.
Set headers and enter data
Put column names in the header row, then fill rows for each item, owner, status, or metric the team needs to see.
Use formulas when math should stay live
Start a cell with = for totals, counts, or references. Keep the sheet as the source of truth instead of retyping numbers into chat.
Use AI columns when rows need generated values
AI columns are shipped in Space sheets. Open the AI column controls on a column, write a prompt, and pull in other columns with {{ColumnName}} tokens from the header row.
Preview a few rows first, then run the column (or a single cell) when the sample looks right. Review confidence and sources before you rely on the filled values.
- Pick the target column letter and confirm the header name is clear.
- Write a prompt that references other columns with {{ColumnName}} tokens.
- Preview a small batch, then Run column or run one row at a time.
- Treat AI output as a draft: edit cells when the answer needs a human check.
AI columns help with enrichment, summaries, and classification across many rows. They do not replace sheet formulas for exact arithmetic.
Schedule work on the Space calendar
Open the Space calendar view or choose Create Event when something needs a date, time, or deadline the whole Space should see.
Add a title, start and end time, and any notes that help collaborators show up prepared. Edit or remove events later from the calendar surface.
- Use events for launches, meetings, deadlines, school due dates, trips, and family plans.
- Pair an event with a task when someone owns follow-up work after the date.
- Ask Losi to draft a schedule, then create the real events yourself after review.
Create an event
Use Create Event from the Space menu, or add from the calendar view when you already know the day.
Fill the essentials
Set the title, date and time, and a short description. Keep event copy short enough that someone scanning the calendar can act on it.
Review the calendar
Switch to the calendar view on the Space to see month, week, or day layouts and confirm nothing conflicts.
Sketch and plan on a whiteboard
Whiteboards are for visual thinking: flows, layouts, sticky notes, and rough diagrams that do not belong in a sheet or a linear note.
Create a whiteboard, open /spaces/.../whiteboards/... to edit the canvas, and keep one board per problem so collaborators know where to look.

Choose Create Whiteboard, name it for the problem (for example Launch flow or Room layout), and open the canvas.
Capture the visual plan
Add shapes, text, and structure while the idea is still rough. Prefer clarity over polish on the first pass.
Return from the whiteboards list
Open /spaces/[space-id]/whiteboards anytime to browse boards in that Space and jump back into the right canvas.
Use Space chat and the Shared chats feed
Space chat is the live conversation attached to the Space. Use it for questions, decisions, and asking Losi to draft work that should land in notes, tasks, sheets, or events.
When a conversation is worth keeping as a frozen snapshot for the team, use Share to team feed. That posts an immutable Shared chat at /spaces/shared-chats. Snapshots do not update when the original chat continues.

Open Chat on the Space and keep the thread next to the project instead of scattering decisions across side channels.

In a Space conversation, use Share to team feed when teammates need a fixed record of the exchange.
Browse Shared chats
Open /spaces/shared-chats to review titles, who shared them, which Space they came from, and the date. Open a row to read the snapshot.
Shared chats are frozen snapshots for visibility. Keep ongoing work in the live Space conversation, sheets, calendar, and tasks.
Useful habits
- Put structured numbers and trackers in sheets; put dates on the calendar; put visual thinking on whiteboards.
- Use AI columns for row enrichment, and formulas for exact calculations.
- Share chat snapshots when a decision should stay visible; keep day-to-day talk in Space chat.
- Invite collaborators with the right roles before you expect them to edit sheets or whiteboards.
